ShareGrid is a website where we can post our equipment available for rental. Usually it is people who are coming from out of town and don't know the rental houses around and are just looking for a few items. As a result of this ShareGrid renters are often very fickle and will cancel their order at a moments notice. Always be weary of sharegrid renters. The good thing is sharegrid takes care of a number of things like the Rental Agreement and insurance requirements. It can actually be a good solution for people who cannot do a credit card hold, but also cannot afford insurance. They can rent the equipment through sharegrid and use their Damage Waiver for a minimal fee, sharegrid will take 20% of the rental, but at least the gear can go out insured.

Process to Rent Equipment

Rental Request You'd Receive Via Email

You will get a rental request outlining the equipment they would like. Sometimes they will reach out to you via message to ask if something is available. Use QuickAvailability to find out if it is or not. Sometimes they will want a special package of a combination of our gear, you'll need to make a new item in sharegrid that has all of those items. Do not talk to them outside of sharegrid.

Make sure they follow ALL sharegrid guidelines, it's very important to follow any rules setup by sharegrid, otherwise their damage waiver might not apply.

Creating Orders

  • Receive Rental Request via ShareGrid
  • Accept Request if Possible

Sharegrid takes into account how quickly we accept it, so it's important to quickly figure out if we can do the rental or not.

Create a New Order

Deal should be set as SHAREGRID RENTAL

Set the Location

Set the Pick/Start/End Dates

Set Billing Dates

Enter in the equipment required.

  • Receive Rental Confirmed Email
Rental Confirmation
  • Check Insurance Certificate if Applicable

Checking an Insurance Certificate

  • Coordinate Pick-Up

Go to your messages in sharegrid and send them the After Hours Shed Template from Spark.

  • On Orders with Trucks

Get a credit card on file with us to bill out fuel and mileage at the end

Checking Out Equipment

  • Printing Pick List
  • Check Identification

Check the renter's ID when they arrive, and make sure the name matches their profile. If the renter has added an Authorized Person, check their ID, and make sure the name matches the name shown in the rental conversation thread. Do not hand over gear without checking the person's ID.

  • Fill out Digital Checklist

Run through the Digital Checksheet with the renter, which can be found in their rental request.

If they'd like to take any additional equipment, you must do the entire process over again. If they are there in person you can suggest doing the normal process at this point to cut out ShareGrids 20%.

Checking In Equipment

  • Fill out activity board app
  • Mark Rental as Returned
  • Send over Invoice with only Fuel, Mileage, tolls and expendables
  • Charge card on file

Money will be deposited automatically after you do this.

  • Leave a Review for the Renter

Process for adding new equipment to our rental page

  • Sign into Sharegrid with our credentials from lastpass.
  • Select manage listings in the top right
  • Select add new listing in the top right
  • Fill out everything in the general category

It is easiest to find another listing and copy the photos and title from them, get the replacement value from rentalworks

  • Enable rentals

In the description, list everything that is included in the kit; lenses, softboxes and speedrings need to be listed seperatly. Set the price to the rental rate from rentalworks, accept the sales tax button.
