Insurance Certificates
Insurance covers our liability involved in renting out equipment as well as the value of it. You'll need to check our client's insurance certificates as well as issue insurance certificates to our sub-rental vendors. There are times when we don't require an insurance certificate and it is when the Replacement Value of the Gear (found at the bottom left of the quote) is less than 5,000. Often times clients will get this mixed up with the quote amount, so its important to let them know the difference. Over 5000 can be done with everyones approval, post in the current-rentals channel for approval.

Vehicle Orders
- Commercial General Liability: This box must be checked. This will cover accidents that happen relating to the equipment. (EX: a light catches fire and burns down a building)
- Policy Effective Date: Make sure the date starts at the least the day the truck is picked up and ends the day the truck is returned. Most times you’ll get a certificate for a year-long period.
- General Liability Limit: The box labeled each occurrence should have no less than 1,000,000. (This is the limit for a single accident)
- General Aggregate Limit: The box labeled General Aggregate should have no less than 2,000,000 (This is the limit for the length of the policy)
- Hired Autos: The box labeled Hired Autos should be checked. (This is proof of liability for autos) (This covers medical costs and other damage to peoples property caused by an automotive accident)
- Auto Physical Damage: Limit should be equal to the cost of the truck. Could be in different places so look along this line for Auto Physical damage. You should check with their agent if this is written in the description of operations.

- The gear for the truck and all the shelving will be covered under the equipment value
- Combined Single Limit: This Box should have no less than 1,000,000 (This is the automotive aggregate)
- Misc. Rented Equipment or Inland Marine Coverage: Needs something that notes the additional coverage for the equipment. The limit should be equal to or greater than the equipment being rented, not including the cost of the vehicle itself. To find the value of equipment on any order log into Rentalworks Online. Go to the Order. On the left click the tab Value Sheet. (This covers any loss or physical damage to the euqipment)
- Description of Operations: Bolt needs to be listed as an additional insured and as the loss payee. (additional insured: we are covered under their policy as dictated by our rental agreement) (Loss payee: we will be the ones to receive any money as a result of a claim)

- If your not sure if all these items are on the certificate you can call the insurance agency and speak with them about it. their contact info should be at the top of the certificate that was issued. While their contact info is here, you should look up their number on google and call that number instead to decrease the chance of fraud.
Equipment Only Orders
Only the following is required for equipment only orders.
- Policy Effective Date
- Misc. Rented Equipment or Inland Marine Coverage
- Description of Operations: Bolt needs to be listed as the loss payee, we dont have to be listed as additional insured

Credit Card Hold
If the Replacement Value is below 5,000 (or if above you have received approval) and they would like to do a credit card hold, follow these steps.
- Go to their order in Rentalworks
- Click Command Shift R and select 6 - Send Order
- Select Credit Card Hold in the Prompt
This will check the value sheet for you, take the value of the equipment, then put it in the Extra Amount. It will also include the message "This quote includes a deposit for the equipment and no insurance certificate will be required. When your card is charged the hold will be released and go back to your card within 7 business days." in the notes field in CineRentalManager.
You will also need to upload something for the insurance certificate, since our system requires it. The easiest thing to do is
- Go to the Uploads Page and select your job and press the Insurance Certificate radio button.
- Open the Notes APP
- Type CC HOLD
- Press Command Shift 4 to take a screenshot and screenshot just that text.
- Drag that screenshot to be uploaded as your insurance certificate.
- Select the date after the job ends as your expiration date.
This will make it clear to us that they did a CC Hold and it will expire the day after the job ends.
Issuing an Insurance Certificate
Go to https://www.athosinsurance.com/Policies/LossPayee and login using our credentials from last pass.
- Click Issue New Certificate
- Fill out the following fields
Name
Address
City
State
Zip
The type of certificate is an equipment rental house
- Click Create certificate
You will issue the certificate from there and it will automatically send to the vendor. You will get a confirmation email as well.
