Trello is a project management program. Look at some of the boards we have to see all the different ways that we use it. We utilize the GTD or Getting Things Done methodology when it comes to project management. The idea is basically sorting tasks into seperate buckets of where the work must take place, always writing out every task that we would like to complete, and attempting to do the very small tasks immediately to prevent build up. More about this can be learned in the Lean Educational Materials


Overview

If you have not used Trello before you will need to set up an account and be added to the appropriate boards by an administrator.

Logging In/Out

Log Off

Click on your avatar photo and select log out at the bottom of the list of choices.

Log On

Either Sign up for an account if you do not already have one or select the blue login button.

Enter in the email and password associated with your account.

Once you are in, you’ll see a view similar this.

Boards

Each one of the items listed here is a board. A board is basically just a collection of tasks or projects.

Inside the board you have cards, which are the individual tasks to complete.

You can group the cards into lists, which are the columns of cards.

If you look inside the card you can add checklists of things to do to complete that task.

You can also comment on that card and tag other people to talk to them about that project. Pictures can also be added into the card if you need to provide pictures of it.

Standard Card

When creating a card you have to be very specific to get the information across for someone else to work on. You should be able to fully understand the task from the card only, it should not require an explanation.

Things to include in your card.

  • Task to be completed.
  • Deadline, if so, add Due Date.
  • Urgency, if so, Add Label for urgency level.
  • Add Image if possible.

When you complete a task, update the card and say the task was completed and archive it.

Notifications

There's a lot to notifications from trello, we need to make sure that you get the proper notification on the correct card. Here are the settings to look at:

Click Notifications > Gear icon in top right

Make sure the following is turned on:

Cards

Comments on a card

attachments added to a card

change made to a card

Turn the following off:

Turn off added and removed from a card

Turn off new card created

Board Settings

  • Click Show Menu

Located in the top right of your trello board

  • Click More
  • Make sure Watch is unchecked

If you check this you will get alerts for everything on the board, this means you'll get notifications for things you don't need to know about.

For Mobile

  • while in the board click 3 dots in the top right
  • click the second layer of 3 dots in top right
  • uncheck watching

Settings

You can have Trello email your notifications to you, but we want more instant communication for our trello board, so we turn these off.

  • Click on your Profile Picture
  • Go to the Settings Tab
  • Click Change Notification and Email Frequency
  • Click Never


Mobile

  • Go to account
  • Click on profile and visibility
  • Log into your atlasian account
  • click settings tab

You may need to scroll over to find it

  • Change email notification frequency
  • Select never


Workspace Views

To open a Workspace Calendar or Workspace Table view:

Select Switch board from the navigation bar.

Select a Workspace just below the search bar

Select Workspace Views

Select a Workspace view to open it
