Production will oftentimes request things that are outside of the normal scope of our business. It's important that we don't let this creep into areas we are not interested in doing business in as it can shift our focus away from our core sources of income as well as create bad precedents for the future. As we accumulate more special requests, they are to be listed in this document.

Open Outside of Normal Business Hours

Also known as shop overtime. Some productions may not be able to scout until the weekend or they want to be able to add or drop things before their shoot on Sunday, they may also not be able to get things in before we close and want us to stay later. We want to discourage this kind of behavior as much as possible as we don't want to have to run a 24-hour operation. Our answers to this are:

  • It's up to the Rentals Manager if they would like to deal with it. If they don't want to, they must bring it up with Ryan and Matt to see if they want to figure out the logistics of it or can assist in any way.
  • To keep both the Rentals Manager and the Shop Tech in the shop past 5 pm is 100/hour. After 12 hours in the shop, it would jump to 200/hour.
  • Opening the shop on the weekend is 125/hour and a minimum of one hour.

Truck Parking

Some productions will ask if they can use our lot for their truck parking for a day or two. The charge for this is 100/night and we must clear the additional trucks with our landlord before proceeding.

Discounts Greater than 20%

Follow the guidelines in the Discounting Orders Section.

You must get permission in the discounts slack channel to give discounts greater than 20%.

Non-Standard Expendables Request

Buying expendables for their shoot is not our responsibility if we do not carry them.

There must be a minimum of 75% or $40 minimum profit on the expendable to make a trip to any retailer worth it, potentially more if it's further than 20 minutes away from the shop, for example going to JCX.

We need to let them know that we will charge substantial markup and that they will find the item much cheaper by going directly to the expendables vendor.

There are some specific circumstances that will force us to do this from time to time, but the markup must be high to make it worth it.

Picking up non- rental subrentals

If a customer asks if we can pick up their subrentals for them from other rental houses tell them that we cannot due to the liability of the gear and request that they hire a PA for pick-ups or suggest another sub rental vendor that may have looser pick up guidlines.

Keeping Gear Across Two Jobs

Gear must be returned between two jobs so that we can inspect it for damage, check it in, and then check it out to the other production. The only way this is possible is if it is rented directly to the person that is on both jobs.
