Selling Equipment
We always need to be looking for equipment that we could possibly sell, as the money we earn can be reinvested into new equipment. A piece of gear that goes out once a year could easily be sold and turned into a piece of gear that goes out every week.
First decide in trello where you will be selling the item. Some will be posted on eBay, some will be shipped to LA to sell there. It will be item dependent where its sold.
To post the gear for sale you'll need:
- Shop iPhone
Taking Photos
- Using the Shop Phone, go to the Annotatable app. It will open your recents photo album.
- Click the Camera Icon to take a picture.
- Take one photo that shows as much of the item as possible and all items within the kit that is being sold. One photo is ideal. When you take the photo, leave empty space at the top and bottom of the frame for your text.
- Click Use Photo
- Click on the image and add white text that has a shaded black background.
- At the top put the name of the item.
- At the bottom put the price.
- Upload the photo to the trello card in the Selling Board

Listing items on Ebay
- Ebay App
Use the ebay app as you gather information on the listing your creating. If you can not get all the information save the listing as a draft and finish it later.
- Open the Ebay App on the iPad mini
You'll need to login to our account using LastPass
- Click the Selling Tab in the bottom Right
- Click List an Item
- Find your item
You'll be given the ability to search for your item to find a similar listing. If you are listing something that is a normal consumer product, this can be very helpful. It may also be helpful for some film products as well, use your best judgment.
- Item Condition
Select the condition the item is in.
Take Photos of Gear
Before taking photos remove all bolt branding including fabric labels, cable bullets, spray paint, etc.
- Use your camera app on your phone to take the photos.
Do not do any batch work in this process. Take the photos as needed for the listing.
Here are some helpful hints to take good photos:
- Place it against a white piece of foam core if the item is small enough.
- The foam core should fill the frame entirely.
- You do not have to take a picture of all of the items at once. If they are too big to fit on a piece of foamcore, you can take individual pictures of the items.
- Pictures should be taken outside under the awning.
- Use manual exposure by clicking on the image to make the whites a bit brighter.
Be careful not to blow them out.
- Add Photos into the app
Click the plus button at the top and add the photos from the camera roll.
Title
Use a descriptive title to include as many keywords as possible
Item Specifics
You can fill these out if they are applicable, but you will often leave these blank. If you have more than one of the same item, create individual posts for each item type.
Category
Select an accurate category.
Condition Description
If there is anything wrong with the item, you would list it here. Scuffs, scratches, any damage.
Pricing
Make sure it is listed as an auction.
- Set the price at 30% of retail value
- Set Duration to 3 Days
- Turn Offers Off
- Turn on Buy it Now
Set this at 75% of retail value
- Relisting
On the second time relisting after a piece of gear has not sold, cut the price by 30% then relist
Packing
- Find a Box that fits your item
Look at the available boxes in the shop and see if any of them will fit your item. Make sure you have extra space between the item and the box for additional padding if needed. Make sure that all the items that will be in the listing are accounted for when taking measurements for the right sized box (ex: barndoors, scrims, etc).
- Purchase the Correct Size Box
If there are no boxes at the shop that will fit your item you'll need to purchase the box. Find a local vendor to buy an individual box. UPS, FedEx, Home Depot, Uhaul are some vendors.
- Remove any Bolt Branding and Save any Asset Tags
This includes stickers, paint, barcodes, or anything that identifies it as ours. For paint you can use Goof Off to remove it.
- Pack the Item
dismantle any items to make the item smaller (Ex: removing the bale from a light). If there is a globe in the fixture, remove it and wrap it in bubble wrap and place it back in the head.
- Place Barcodes that you've saved on top of Sealed Box
You may have to tape them to the box, but when the item sells and we make the invoice, these barcodes can all be scanned to check out the items.
Shipping
- Package Details
With your item and packing materials in the box you will ship it in weigh the box. Enter that information in the ebay app. Also enter the dementions of the box.
- Select Service
Select USPS Priority Mail. Ebay app will automatically estimate cost of shipping that they will charge the customer.
- Handling Costs
Put in any charges for packing the box in the handling section in Shipping Service window.
- Additional Domestic Service
Press this button.
- Turn off Ship Internationally
- Turn on Local Pickup

- Pirate Ship Shipping Information
Use the box dementions and weigh the box to get an estimate of shipping information from the Pirate Ship website. If the order is 2 boxes. use the dimensions from the largest box and add the weight of both together Depending on the item weight and size shipping costs can be extremely variable.
Preferences
- Turn on Require Immediate Pay for Buy it Now
- Set Return Policy to no Returns accepted.
Now you can submit your listing.
Turn on Easy Pricing and repeat this process as many times as you have items.
If the auction ends up running out of time with no bids, it will automatically lower the price and relist it for you.
Shipping
Use Pirate Ship for shipping.
Craigslist
Craigslist is great if you have a lot of something that you don't want to ship and you think a local pick up will be the best way to get it sold. (Ie. blue Uline bins, lumber, furniture)
To use craigslist
- open craiglist and select "create a posting" from the top left above my account.
- log into our craiglist account using the credentials in last pass.
- select east bay , Berkeley as your neighborhood you are selling in.
- select for sale, general for sale. (unless another category is a better fit)
- then begin filling out all the fields. post photos and links as that always helps you look better compared to other people selling stuff on craiglist. you can put our phone number and email in the listing.
- Once posted people will email through the craiglist client. they need to be here at the shop during business hours, we are cash only and they must know to bring a credit card for processing.
- Always a good idea to make sure someone is going to be here with you during the transaction.
Payment
Some platforms will lock you into certain payment methods, but ideally we will always receive payment via Zelle. We do not accept venmo and Paypal will always take some sort of fee, while Zelle is free.
Use rentals@boltlightingrental.com as the email for Zelle paymemts
If the customer has limits on how much they can Zelle in a day, they will have to make payments until the balance is paid before they can pick up their gear. DO NOT LET THEM LEAVE WITH GEAR UNLESS WE HAVE BEEN PAID
Zelle is very quick so we should receive an email in our inbox with the receipt within a few minutes of the payment.
Creating the Invoice
First thing you have to do is check to see if we track quantities of the item you are selling in rentalworks. You can do this by doing the following:
- Go to Rental Inventory
- Type your item in the description and select item
- Go to the Availability Tab
- Look to see if Do Not Calculate Availability is checked.
If it is checked, then go to the Quickbooks Section. If it isn't checked, go to the Rentalworks section
Quickbooks
- Go to Quickbooks
- Go to the Sales Tab
- Click New Invoice
- Type in their Name as the Customer, and Select Due on Receipt.
- Type in Used Equipment as an item, then type the item as the description
- Make sure to include shipping costs and sales tax if necessary to make the amount paid to us match exactly.
- Click Save
- process payment through paypal for family and friends sales
Rentalworks
You will need to create a customer and a deal before beginning with this. You should do this before the client comes to pick it up or before you ship it off.
Create Customer:
- Go to Customer Page in Rentalworks
- Click New
- Type their name
- Under type select the correct type
- Click Save
- Go to Deal and create new Deal by clicking New
Use the format CUSTOMER NAME - RENTAL SALE. Ex. if their name is Jeremy Widen it would be JEREMY WIDEN - RENTAL SALE for the deal.
- Select their name under customer
- Select Rental Sale under Type
- Save
Now that you have created the customer and deal you can create the order.
- Go to Orders Page and click New
- Type in the Description
Follow the naming convention (ITEM - RENTAL SALE) Example SANDBAGS - RENTAL SALE
- Select the Deal
- Uncheck Rentals
- Check Rental Sale
- Click the Rental Sales Tab
- Add the Items sold using QuickSearch
- Make sure it matches the total sold for
- Save the Order
Once the order is made, then we can wait for them to come to pick up the item before we complete the process. When they arrive or you decide to ship it, do the following:
- Go to the Check Out Screen
- Select the order
- Scan the item
- Remove any Barcodes
- Ship or Give the item to the customer
- If the order was sold via eBay, enter in any shipping charges billed by eBay to the purchaser
We will want the amount we receive from eBay to match the invoice amount exactly.
Once this is completed, you would go to the billing tab and create the invoice as you normally would for rental invoices.
These invoices will have to match the amount paid exactly, so be careful that you accept the same amount as is on the invoice including any paypal fees. Making Final Invoice
