Repair Orders
If an item comes in from an order or you do a QC and it needs repair, you can create a repair order for the item(s). Once an item is put in Repair, it is no longer available in your inventory until the item has been released.
Create New Repair Order
It is best to do this from the shop tech computer as you'll have to print a tag and this will give you access to all of the fields necessary.
- Go to Repair Order
Open Rentalworks, and Click Inventory > Repair Order. This will bring you to your Repair Order Page.
- Create new Repair Order
Press the "+NEW" button to create a new Repair Order.
- Select the Item that needs Repair
If the item has a Barcode on it, click in the barcode field and scan the item with the shoptech station scanner. If it's a quantity item Click on I-Code, and search for the item. Then type the I-code in from the item you found into the repair order in the I-code field.
- Click Billable Repair if Appropriate.
Talk with Rentals Manager and owners to determine this. Be sure to select which order you want to bill this to. Select "Outside repair" if repair will be done at external shop.
- Set Priority
Priority should be set based on how often this item goes out and how many we have in our inventory. If unsure if the item must be repaired sooner or later, select medium proiority.
- Select Item Status
- Describe the damage or issue and the proposed fix.
Type this into the Damage field located in the "Damage" Tab to the left along with what must be done to fix the item. This can be as simple as "Bad Wiring - Repair in house" or "Ripped - Ship to Rag Place for Repair" If you don't know how to fix it, take a picture and post it in slack in the #Equipment channel.
- Click Save
- Print Repair Tag
Click Print Repair Tag, Click Print HTML
- Staple Repair Tag to Item
Use the Stapler on the Shop Desk to staple the tag to the item.
- IF LABEL IS NOT VISUALLY GRABBING, Label Clearly with White Gaff Tape to make Inoperable
For example white gaffers tape over the controls or over the baby pin of the light. Write "IN REPAIR" on the white gaffers tape clearly.
- Create Trello Card to order Replacement Parts
Make a card in the "Maintenance - Gear" board. Alternatively, you can just order the replacement parts, especially if its easily done via a QR Code. If repair parts vendor says no ask them what else we can do to solve this problem or if there is another part we need.

Quick Ordering Parts with QR Codes
There are certain repair items we order often that can be ordered via QR Codes. It is best to just order the missing parts as soon as you find the damaged item so that it can be repaired as soon as possible. You can do this by scanning the QR code with the barcode reader from the shop computer, filling in the relevant information, then pressing send. They'll bill our card on file and send the missing part.
Releasing Repairs
Once the repair has been made and the item is now ready to be released back into inventory, you can do so by opening up your repair order. To complete the repair, click on the RELEASE button on the lower right of the window. Once you click on the release button, it will release your item and make it available in your inventory.
