Production meetings are a meeting with key department heads where they go over shot lists, shooting schedules, or any other facet of the production and talk through potential issues. If the schedule of the project permits, it is best if the production meeting is a few days after the tech scout. The time between the tech scout and the meeting helps solve problems that come up during the tech scout and answers hashed out during the production meeting. Usually, meetings are long and tedious but are crucial to keeping the department heads on the same page. Spend some time before the production meeting to look at shot lists, shoot schedules, and then use the meeting to ask for things like special access, permits for specialty gear, etc.

Conference Calls

The production meeting may be a conference call, or there may be conference calls with other key people. Here are some helpful tips for having an effective conference call.

  • Take Notes

Use your fastest note-taking method as you will likely need to write things down quickly.

  • Use Mute!

When you are not speaking, use the mute function on your phone to keep background noise to a minimum. It can stack up and make it difficult to talk if there is lots of background noise.

  • Use Short Statements and ask for Feedback

Give your idea or thought, then ask one person specifically what they think of it. Asking if anyone in the group to chime in will lead to silence.

  • Record the Call

Even if you take the most copious notes, you are bound to miss something. Use Rev Call Recorder to record the call.
