Exchange Module
Using the exchange module you can either swap out an item on an order for a like I-code, or swap it with an item with a different I-Code. Here is a link to the rentalworks article about this. Exchanges have to be done one at a time, inputting the item you are going to swap, and then the item you're giving them. Once you do this it will show up below on the list.

Exchanging Similar Items
- Click on "Menu" button and locate "Exchange" under "Warehouse".
- Click Order # textbox and select the order.
- Under Check-In, Scan the bar code or enter a serial number or an I-Code of the original item.
- under check-out, scan the bar code of the replacement item
- To complete your exchange, click the CONTRACT button at the bottom.
Depending on system configuration, it may automatically place the checked in item into repair. The repair tab will be highlighted blue and the bar code of the checked in item will be red. If you don’t want it to go into repair, click on the Repair tab and then right-click on the item and select CANCEL REPAIR.
If applicable, you can also log the item usage on the Incoming and Outgoing Usage tabs.
Cross I-Code Exchange
To allow cross I-code exchanges, you'll have to set the permissions in your user record.
- MAINTENANCE > USER MAINTENANCE > USER
- Navigate to the permissions tab
- Click the checkbox for "Allow Cross I-Code Exchange"
The process is the same as above. The only difference is you will get a warning telling you it’s a Cross I-Code Exchange.
Partial Exchanges
Sometimes you need to scan out the replacement item, but you haven't received the original item back yet.
You can open the exchange module and just do the check-OUT part of the replacement item going out.
Enter the Deal & Order you are performing the exchange on, and only enter the check-OUT information. Then create the contract:
Then the next time you open the exchange module you can see "Pending Exchanges"
Open the pending exchange and finish the "Check-in" portion and click "Create Contract"
