If the client requests a delivery, you must check the following things.

In CineRentalManager you set the Pick Up Location to Delivery .

  • Location is set to Delivery - Vehicle in Rentalworks (example: Delivery - 3 Ton)

This is found on the order page.

  • You will be required to add the truck to the order. Just add the truck item only, it should be set at zero dollars.

The remaining items are found on the Deliver/Ship Tab

  • Select Deliver to Customer and Pick up from Customer
  • Select venue for both incoming and outgoing
  • Input delivery address, then press copy for pick up address.
  • Input Phone Number of Contact
  • In the attention section, put the name of the contact
  • Input the "on date" and "on time" section for both delivery and pick up

Finding a Driver

  • Closer to the date, find a driver to take the delivery.
  • Take a minute to check the delivery route from the shop to the dropoff location and get a rough idea of when the driver should be showing up to take the truck and be at the location at least 30 minutes prior to the designated dropoff time.
  • Use the "EQ Delivery Info for Driver" template email to give the driver the important info about the job. Fill out using the info from the Deliver/Ship Tab in RentalWorks and be sure to include any important notes from the production about the delivery that may have already been communicated.


Delivery Pricing

  • Pricing for dropoffs/pickups, deliveried made out of business hours, and pricing for deliveries made past 30 miles can be found in Rentalworks.

We should always ask if after hours deliveries can happen during business hours.

  • If there is a delivery and they need to have the truck there. make a separate line item for the return Uber ride

Delivery/Pickup of Equipment

When delivering any equipment you should have contact information for your point person on set. This person must be in the grip/electric department. When you are delivering the equipment. The order should be loaded down the aisle and not mixed in with equipment on the vehicle if there is no truck on the order.

  • Call/text Point Person

If its a Delivery Send a text notifying you are leaving with delivery.If Its a pick up check in with the contact and see if they are close to being done. Once you’ve arrived at the location, call the point person you have on set and confirm that they are ready for the delivery/ pickup.

  • Print the order

Have a copy of the order you are delivering to assist with downloading the gear. If you are picking up bring a copy of the return list with all barcode/RFID items included.

  • Print the Delivery Instructions

Go to the Deliver/Ship tab, scroll down, click Print Delivery Instructions. If you are dropping it off, select the button on the left under outgoing, if you are picking it up select the one on the right for incoming.

  • Arrive at least 30 mins Prior

Make sure to check traffic to allow enough time to arrive 30 mins prior to truck arrival.

  • Deliver/pickup Equipment

Assist in pulling equipment off the truck. If truck is on order then crew can operate truck and you can assist where needed. The driver should operate the gate in either of these situations. Dont leave the gear unatended.

  • Dropping off vehicles

If you need to deliver the entire vehicle to set make sure you have the rentals manager order you an uber. While waiting for your ride, do it in a safe and well lit area. See if you can wait inside while your ride gets to you.
