Charging Credit Card

99% of our income is taken through charging credit cards. You can do this through one of two systems, but our preferred method is through CineRentalManager.


CineRentalManager

  • Authorize lets you enter in the client credit card information for authorization. If you want to change someones credit card on file, this is where you should go to enter it. This does not require an approved quote or any other pieces, just the credit card.
  • Hold This lets you run holds on clients accounts, this should be done no more than 24 hrs before their job starts. This needs to happen for every job, as it is what sends out the pick up instructions. You will not be able to do this without an approved quote.
  • Capture Takes the money that was set aside for a hold. Before you capture a client's card, make sure to wait for 24hrs after having sent the invoice If the total has changed from the original approved amount, otherwise charge at EOD. If you have not sent the invoice, you will not be able to Capture the card. Click capture and follow the prompt to end job.
  • Charge Charge allows you to charge an additional amount to someone's card without needing a hold first, this can only be done after a new invoice is added. This can be used for L/D or other miscellaneous charges that need to be addressed after the main invoice. Can also be used for feature packages or longer jobs.

Once you have completed charging their card, you need to stop and archive the job.

  • Navigate to the Status Page
  • Click the Hand icon to stop the job
  • Click Stop Job

Changing Credit Cards On File

There are a few ways to change the credit card on file. If they want to change it to a card they had used in the past you can do the following:

  • Click Jobs > Job Documents
  • Navigate to your current job
  • Under Prior Credit Cards, Click the + Next to the one you want to use

If they want to change it a card that we don't have on file you can take it over the phone or in person and go to CC TX > Authorize and type it in.

or alternatively, they can just type it in on their Job Info page. The Job Info page shows what card will be used and they can type as many cards in there and it will always use the most recent one that was used.

Stripe

You can also do credit card charges directly in Stripe.

  • Open stripe and move to the customers tab
  • Add a new customer

You can add a new customer by selecting +New in the top right and filling in their name and email address. Then clicking add new card in their account.

  • Select add payment. Put the invoice number in the description only, click Charge.

The system will email the client over a copy of the receipt. If there is no invoice number, make an invoice in QuickBooks and use that invoice number. The payment must match with an invoice.

Charge an existing Customer on File

  • Log into Stripe

Stripe website. Use the login credentials in LastPass.

  • Type the customers name into the Search Bar
  • Click on the correct customer that is displayed in search
  • Click 'Actions'

It's a drop down menu on the top right. Select "Create Payment"

  • Add amount
  • Add a Description

What is this payment for?

  • Select Create Payment
